Public register
The journal is a continuous, chronological register of incoming and outgoing letters and case documents, as well as internal memos. Documents are registered in accordance with Section 10 of the Public Administration Act.
The public register does not contain registers for child and family services, PPT, student files, or kindergarten children.
The register has a delay of three working days. Documents are available for one year from the date of publication.
For construction, division, and planning matters, public documents are published in full text.

Access and requests
You have the right to request access to public documents, records, and similar registers. All case documents are public unless an exception has been made in accordance with the law. Even if a document can be exempted from public disclosure, greater disclosure must be considered, cf. Section 14 of the Public Administration Act.
You can request access to documents from eInnsyn. If you cannot find the case or cases you wish to access, you can call 79 02 21 50 or send an email to post@lokalstyre.no. When documents are requested, a new assessment of public access is always carried out.
Requests for access are normally processed within a few days. If you have not received a response within five working days, your request is considered to have been rejected. Appeals against rejections should be sent to the Longyearbyen Local Council, which will forward the appeal and the grounds for appeal to the appeals body, which is the Governor of Svalbard.
Exceptions to public access
Documents registered with an access code contain information that is exempt from public disclosure. This means that the document is not publicly available, but if you request access to such a document, a new public disclosure assessment will be carried out.

Confidential information is always withheld. This means that your letter may be referred to, quoted, or reproduced in its entirety in newspapers or in the news.
